Job Summary:
The person hired for the position of Communications Operations Administrator will support the operations of the PSD Marketing Communications and Brand department. As a member of this team you will work closely with the marketing communications specialists, handling a wide variety of data entry, processing and administrative tasks. The ideal candidate will apply highly developed administrative and coordination skills to their assignments and propose solutions to operational issues and help enable efficiency improvements.
Primary Responsibilities include but are not limited to the following:
- Manage the Celum digital asset repository for PSD. This includes developing an expertise on the assets, Organization, metadata and correct system linking. Loading assets, completing metadata for optimal search performance, ensuring linked to appropriate locations (web pages, YouTube, product catalogs, etc.), improving folder organization and structure, serving as the primary point of contact for asset requests.
- Manage literature inventory with fulfillment & warehousing vendor:
- Monitor inventory levels, run reports, address low inventory and backorder issues.
- Notify communications specialist on low items or backorders, work with them to handle appropriate action such as coordinating reprints, obsoleting items, updates, etc.
- Set up new items at vendor, manage receipt notices, obsolete outdated items.
- Primary point of contact for all literature inventory issues or concerns.
- Code and enter communications invoices into payment database.
- Manage team Share Point site, add and delete folders as needed, populate information, notify users of relevant information.
- Provide support of US production notifications, discontinuations, and other announcements regarding products.
- Provide general support to Communications team as needed.
Basic Qualifications:
- High school Diploma and/or GED or higher from an accredited university
- Minimum 3 years experience in administrative assistant and/or operational administrator role
- Data entry and management skills experience
Preferred Qualifications:
- Demonstrated knowledge of administrative procedures and experience with systems.
- Well organized self starter who can effectively work in a fast paced environment.
- Proactive about figuring things out, comfortable figuring things out and identifying contacts and resources to help in this process.
- Results oriented with strong process and execution skills.
Location: St. Paul, MN
Travel: May include up to 15% [domestic]
